Role Overview

We are seeking a Procurement & Project Admin Officer to join AltoTech Global in Bangkok. This multifaceted role encompasses procurement planning, supplier management, project administration, and budget control for domestic and international projects. The ideal candidate will have 2+ years of procurement experience, strong negotiation skills, and proficiency in Thai-English communication. You'll manage supplier relationships, process purchase orders, coordinate with engineering teams, and prepare financial reports while supporting cross-departmental operations.

Responsibilities

Procurement Department

Planning & Assessment:

  • Develop monthly procurement plans for materials and equipment aligned with project requirements for both domestic and international projects

  • Review and analyze weekly material and equipment needs, coordinating with engineering teams and project managers to ensure adequate equipment availability

Supplier Management:

  • Establish and maintain strong relationships with domestic and international suppliers to obtain quotations, analyze and compare prices, quality, and terms to select the most cost-effective proposals

  • Negotiate prices, payment terms, credit periods, and other agreements with suppliers to create business advantages and maintain long-term relationships

Procurement Process:

  • Prepare documentation and process purchase approvals according to company procedures and policies, presenting to authorized approvers in hierarchical order

  • Create and send Purchase Orders (PO) to suppliers, coordinate payments, and closely monitor delivery status to ensure materials and equipment arrive on schedule

  • Conduct receiving inspections of purchased equipment and materials to ensure accuracy and completeness according to purchase orders, verify quality and quantity against specifications, and record material data in the system

Inventory Management:

  • Establish and efficiently manage the company's stock system, conduct regular inventory counts, analyze material usage rates, and determine appropriate reorder points to maintain adequate materials while reducing storage costs

  • Verify accuracy of all related documents such as receipts and tax invoices according to regulations and laws

Financial Management:

  • Process urgent cash advance approvals as required by job necessities, considering impact on project progress

  • Record and report project expenses in BOQ (Bill of Quantities) systematically to track and control project costs


Administrative Department

Documentation & Tracking:

  • Establish recording systems and compile data for all incoming Purchase Orders (PO), clearly specifying start dates and delivery deadlines for easy tracking

  • Monitor progress of each project regularly to prepare accurate and timely payment data for each work phase

Budget Control & Analysis:

  • Manage and monitor expenses for each project within allocated budgets, prepare advance warning reports when expenses approach cost limits, and propose corrective measures

  • Analyze and prepare summary reports on project performance in terms of profit and loss, with detailed expense categorization for operational efficiency improvement

Data Management & Forecasting:

  • Maintain records of project types, revenue, and products sold for each purchase order to serve as a database for business analysis and planning

  • Prepare monthly and quarterly revenue forecasts for financial planning and investment purposes


Support Department

Project Documentation:

  • Prepare comprehensive project documents such as material approval documents, work delivery letters, and project data records according to AltoTech Global standards

  • Serve as central coordination point between internal and external teams, including customers, regarding work implementation, work delivery, and other project-related activities

Financial Administration:

  • Manage petty cash for urgent material and equipment purchases and other minor expenses, with systematic expense reporting

  • Prepare petty cash advance documents for AltoTech Global employees with work-related expenses such as urgent on-site materials, travel expenses, and allowances

Business Development Support:

  • Prepare quotations for AltoTech Global products and services for customers, and coordinate preliminary discussions to create positive impressions and mutual understanding

  • Compile and prepare comprehensive weekly summary reports of all project operations for presentation at company weekly meetings

  • Assist department supervisors with operations and other special assignments as delegated

Qualifications

Education & Experience:

  • Bachelor's degree in Engineering or related field

  • Minimum 2 years of experience in procurement and project administration (experience in technology or engineering industries will receive special consideration)

Skills & Competencies:

  • Detail-oriented, disciplined, with excellent document management skills

  • Strong negotiation and communication skills in both Thai and English

  • Proficiency in Microsoft Office and Google Workspace

  • Ability to work under pressure and efficiently manage multiple tasks simultaneously

  • Strong analytical thinking, problem-solving, and decision-making skills

  • Effective teamwork and cross-departmental coordination abilities

  • High integrity, strong sense of responsibility, and positive work attitude
