1. About this policy
This policy explains what personal data AltoTech collects when you visit our website at altotech.ai, when you contact us, and when you meet us at an event or exhibition — and what we do with it.
“Personal data” means information that identifies you or could be used to identify you, such as your name, email address, or phone number.
What this policy does not cover. AltoTech provides building energy-management systems that operate inside our customers’ buildings. Data processed within those deployments is handled under our contracts with the building owner or operator, who decides how it is used. This policy covers only data we collect directly from you — as a website visitor, an enquirer, or someone we meet at an event.

2. Information we collect
When you fill in a form on our website
Our contact and demo-request form asks for:
Name
Phone number
Company name
Email address
Solution interest — which of our products you are asking about
Building type — hotel, office, factory, hospital, retail, educational, or other
HVAC type — VRV/VRF, split type, or chiller (optional)
A free-text description of your needs (optional)
You choose what to put in the free-text field. Please do not include sensitive personal information there — we do not need it and do not ask for it.
When you meet us at an event or exhibition
At conferences, trade shows and exhibitions we collect standard business card details:
Name
Job title
Company name
Email address
Phone number
We collect these when you hand us a business card, fill in a form at our booth, or enter your details into a digital form or QR-code link we provide.
When you contact us directly
If you email us, call us, or message us through our LINE Official Account or WhatsApp, we receive whatever you send — your contact details and the content of your message.
Automatically, when you use our website
Usage data — which pages you viewed, how long you stayed, which site or search brought you to us, and which links you clicked
Device and technical data — device type, operating system, browser, screen size, approximate location derived from your IP address, and your IP address itself
Cookies and similar technologies — see section 8
We do not use this information to try to identify you personally.
3. How we use your information
We use your information only for the purposes below. If we ever want to use it for something else, we will tell you first and, where the law requires it, ask your permission.
Reply to your enquiry and answer questions about our products — uses contact details and enquiry content
Present and demonstrate our products, and follow up on sales conversations — uses contact details and building and HVAC details
Send our newsletter and marketing updates, where you have agreed to receive them — uses name and email address
Follow up by email, LINE or WhatsApp after an event — uses contact details
Understand how our website is used, so we can improve it — uses usage and device data
Keep records of consent, enquiries and our dealings with you — uses all of the above
Meet our legal and accounting obligations — as required by law
We do not sell your personal data, and we do not share it with third parties for their own marketing.
4. Our legal basis for using your information
Responding to your enquiry — your request, taking steps at your request before entering a contract
Sales follow-up after you contacted us or gave us your details — consent, and our legitimate interest in following up an enquiry you initiated
Newsletter and marketing communications — your consent, which you can withdraw at any time
Website analytics — your consent for non-essential analytics cookies
Keeping business and accounting records — our legal obligations
Where we rely on consent, you can withdraw it at any time. Withdrawing consent does not affect anything we did lawfully before you withdrew it, and it will not affect our ability to answer an enquiry you have already sent us.
5. Who we share your information with
We share personal data only with the service providers we need in order to operate. We do not sell it, and we do not give it to anyone for their own purposes.
Framer — hosts our website and handles form submissions; processes data outside Thailand
Google Analytics — tells us how the website is used; processes data outside Thailand
Google Maps — displays the map on our contact page; processes data outside Thailand
Google Drive / Sheets — stores our records of enquiries and event leads; processes data outside Thailand
Mailchimp — sends our newsletter; processes data in the United States
LINE — our Official Account, when we message you there; processes data outside Thailand
WhatsApp — when we message you there; processes data outside Thailand
We may also disclose personal data where the law requires it — for example in response to a lawful request from a court, regulator or law enforcement agency — or where it is necessary to establish, exercise or defend a legal claim.
If our business is sold or reorganised, personal data may transfer to the new owner. We will tell you if that happens and what it means for you.
6. Sending information outside Thailand
All of the service providers listed in section 5 process data outside Thailand. Where we transfer your personal data abroad, we do so on the basis of the safeguards agreed with each provider and, where required, your informed consent.
You can ask us what safeguards apply to a particular transfer by writing to sales@altotech.ai.
7. How long we keep your information
Contact details collected at events and exhibitions — 2 years from the date we collect them, unless you give renewed consent
Enquiries submitted through our website — 2 years from your last contact with us, unless you give renewed consent
Newsletter subscription data — until you unsubscribe, and then only what we need to honour your unsubscribe
Website analytics data — as configured in Google Analytics
Records we must keep by law, such as accounting records — for the period the law requires
At the end of the retention period we delete the data, or ask whether you are happy for us to keep it.
8. Cookies and website analytics
Our website uses cookies and similar technologies. Cookies are small files stored on your device that let a website recognise your browser.
Essential — makes the site work, including page delivery and form submission; set by Framer
Analytics — tells us which pages are visited and how people move through the site; set by Google Analytics and Framer Events
Embedded content — the map on our contact page sets Google cookies when the page loads; set by Google Maps
You can control cookies through your browser settings, which let you block or delete cookies for any site, and you can opt out of Google Analytics using Google’s browser add-on at tools.google.com/dlpage/gaoptout.
9. Keeping your information secure
We protect personal data with access controls on the systems that hold it, encrypted connections to our website and to the services we use, accounts limited to the staff who need them, and provider agreements with the companies listed in section 5.
No system is completely secure, and we cannot guarantee that data sent over the internet is absolutely safe. If a breach occurs that is likely to affect your rights, we will notify the relevant regulator and, where the risk to you is high, we will notify you.
10. Children
Our website and our products are intended for businesses and building professionals. We do not aim our services at children and we do not knowingly collect personal data from children. If you believe a child has given us personal data, contact us at sales@altotech.ai and we will delete it.
11. Your rights
You have the right to:
Access — ask what personal data we hold about you and get a copy
Correct — ask us to fix anything inaccurate or incomplete
Delete — ask us to erase your personal data
Object — object to our use of your data, including for marketing
Restrict — ask us to pause our use of your data while a question is resolved
Portability — ask for your data in a commonly used, machine-readable format
Withdraw consent — at any time, as easily as you gave it
Complain — to your data protection authority
Marketing: you can unsubscribe from our newsletter using the link in any newsletter email, or by asking us. You can ask us to stop contacting you by email, LINE or WhatsApp at any time.
How to make a request

We may ask you to confirm your identity before we act, so that we do not disclose your data to someone else. We respond within 30 days. There is no charge for a reasonable request, and we will not treat you any differently for exercising your rights.

12. Changes to this policy
If we change this policy we will update the “last updated” date at the top and publish the new version on altotech.ai. If a change materially affects how we use your personal data, we will tell you — by email where we have your address — before it takes effect, and where the law requires it we will ask for your consent again.
13. Other things you should know
Links to other sites. Our website links to other organisations, including our social media pages. We are not responsible for their privacy practices; read their policies.
No sale of personal data. We do not sell your personal data.
Governing law. This policy is governed by the laws of Thailand.
